CincyCon 2025 Show Rules

Attendee Conduct

Everyone knows that gamers are among some of the most responsible and polite people in the world...

However, we think it prudent to remind convention attendees that they are expected to abide by the rules of the convention, as well as any directions given by the Convention Staff and/or the convention site, and of course, by federal, state, and local laws.

Convention Badges

You need an attendee badge! Your badge serves as your ticket of admission to the convention, and it is a non-transferable and revocable license. CincyCon reserves the right to terminate this license at any time, refund an attendee's admission, and require that a person leave the premises.

Convention Staff also will deny you entry to the convention area or may request that you leave if you are without your badge - so please wear it visibly ABOVE the waist during the convention.

Attendees that are of the age of 10 and under will receive a FREE generic youth badge for the entire convention.

If an attendee looses their badge, they may be charged $5.00 for a replacement.

Event Hosting

CincyCon Staff reserves the right to refuse any event to be run at their conventions or terminate ones in progress, should, in the judgment of CincyCon Staff, said Event Host is not following policies as outlined hereafter. The Convention Staff will investigate all complaints, and the specific situation will be discussed with the event host(s), prior to any action taken for the event in question, or future events, run by the same event host(s). 

Event Hosts are encouraged to allow minors in their events. It is the best way to ensure the future of our hobby. However, you can require adult supervision and or deny youth participation if you see it necessary to the function of your particular game. It is the Game Masters discretion.

Solicitations

Only those attending exhibitors who have helped in the pre-show promotion of CincyCon may distribute information(solitications) during the show. These exhibitors have placed CincyCon fliers and or posters in a prominent area of their store and have made an effort to attend and contribute to CincyCon.

Absolutely no non-exhibitor soliciting will be permitted at CincyCon. This includes the distribution of information regarding other shows and or the distribution of store information or store gift certificates.

If it is unclear if a solicitation or similar activity is not permitted the CincyCon Convention Director can be asked to review the activity and permit or deny the continuation of the activity.

Individuals who are breaking these rules will be issued a refund and then asked to leave the show.

Lost or Damaged Materials

CincyCon and the Butler County Fairgrounds assumes no responsibility for lost or damaged items or possessions, including, but not limited to CincyCon badges or gaming items.

The Registration Desk will maintain a lost and found department. If you find or lose any items, please notify registration personnel immediately. Property found on the convention site at the end of the weekend will be returned to the owner if at all possible.

CincyCon Staff strongly encourage you to leave nothing unattended.

Smoking and Alcohol

Due to Ohio Law the Butler County Fairgrounds is a Smoke Free Facility. There will be no smoking allowed in this facility. Hotel and convention staff will strictly enforce this, and offenders may have their badges revoked and be asked to leave.

Alcohol sales are reserved for the Butler County Fairgrounds. It will be the Butler County Fairground's decision and responsibility if it decides to provide such sales. No alcohol will be sold or provided by CincyCon or its staff. We do not condone drinking in the gaming areas, however we request that you be discrete and adhere to the stated policy. If you choose to consume alcohol you are personally responsible for your actions and well being. Drunk and unruly behavior will not be tolerated. Offenders may have their badges revoked and be escorted from the convention.

Food and Beverages

We have again contracted with the Sky Galley Restaurant to provide its excellent food and service at extremely affordable prices.

Convention Regalia and Weapons

We reserve the right to bar anyone from the convention if we determine that clothing or symbols, hereby known as regalia, worn are inappropriate for the convention. Regalia that depict racial, ethnic, religious, sexist, or otherwise distasteful messages, shall be prohibited. It is also important to remember that CincyCon is a family event. Determination that a person or person(s) is or are wearing such, shall be at the discretion of the Convention Manager and Staff. At the discretion of the Convention Manager and Staff the allowance of tastefully displayed "symbolic" uniform parts (example: Star Wars Storm Trooper Helmets or Military Green Berets) from the opposing forces in a game. This is not, however, an endorsement of such practices.

Real or simulated weapons will not be permitted in the convention areas, nor will any item which in the Convention Directors judgment can present a hazard to our guests. Active Duty Military, Law Enforcement, Security Police, and Emergency Services are exempt from this policy while carrying weapons in the performance of their official duties.

Trash

Receptacles have been provided throughout the facility for your use. Please use them to help keep our convention clean and safe.

Spectators

We welcome and encourage spectators at all events! But please remember event hosts and players are trying to enjoy and finish their games, and this is more easily done if interruptions are kept to a minimum. If you want to photograph an event - especially with a flash - please ask permission of the event host.

A Note To Parents & Guardians

Attendance at a gaming convention is extremely safe, however we remind parents and guardians that the safety of their children is their responsibility.

You also are responsible for the supervision of all minors, as well as for their behavior at the convention site. Therefore, please make certain that minors are supervised by an adult companion at all times.

Show Cancellation and Date Changes

Due to agreements between CincyCon and the Butler County Fairgrounds, under no circumstances will the show dates be moved or cancelled. This includes any "Acts of God" such as inclement weather.

We will remain open and ready for your gaming entertainment. With this in mind no refunds will be issued for preregistered attendees due to "Acts of God" such as inclement weather.

CincyCon Refund Policy

No refunds will be issued closer to 30 days prior to show date.
